Visual Practice HOW TO
User Author: Robert Book M.D.
...Search for OHIP bills
At times the user will need to search for a particular bill, either to correct it, resubmit it, check the payment status, or just to ensure you have billed that particular patient.
Visual Practice allows several search options once again. First open the OHIP Billing Module.

Take note that the first field in the module is the Visual Practice internal billing number. This number is automatically assigned when you create your bill, which is used when your claim is submitted to OHIP. It is also the number which is quoted when OHIP returns a rejected claim. Also note that there is a field present for the user to enter an alternate billing number. The purpose of the alternate billing number is to allow your own internal accounting or tracking system to use a different bill number that is more meaningful to you.
To search for a particular claim click on the Search button on the toolbar, as shown below:

The Search for Bills window will open, as shown below:

The search option defaults on service date; when you enter a date, (mm/dd/yyyy) the window will scroll to that days billing.s (the service date not the date the service was billed!). You may search by internal billing number (great for rejected claims), your own internal number or by patient name (lastname, firstname). In every case the window will scroll to the nearest match as you enter the search information. Selecting by provider is of use in group billing or multi-provider situations.
You then may select the appropriate bill by scrolling through the window and double clicking, or click and select when you find the claim information you wish.
Search strategies:
1) For an OHIP rejection, use the billing number or date of service supplied by the OHIP rejection slip.
2) For office use, try using the service date, the name search, or, if available, your own internal billing number.
3) If you have only the Health Card Number, you can locate a bill by searching the patient registry using the health card number, and then either checking the billing history in the patient registry, or returning to the OHIP module and searching by name.
Fast search for OHIP Bills
A faster method for looking up an OHIP billing is the short-cut CTRL-S. This short-cut maps to the menu option found under Records, called Fast Search as shown below:

Once selected, the following dialog will appear as shown below:

Type in the bill number you wish to go to and press the Ok button. The billing form will then display that bill number.
